Introducing Organizations & Team Management in GoDAM

While GoDAM started with video marketing related features, our ultimate mission is to become the most affordable and yet powerful digital asset management for organizations of all sizes and nature.

Naturally, one of the most important features we needed was the ability to bring your entire team to the GoDAM Central. With this release, we have added support to create and manage organizations with granular access control.

The feature is for all new as well as existing users; you can now invite other team members for collaborative media management.

Current Roles & Permissions

We have introduced 4 new roles, i.e. Owner, Manager, Creator and Viewer

For any organization, there can be only one owner. If you wish to transfer ownership to any member of your team, you can do that from the Organization settings section. Once you transfer ownership, you become the manager in that organization. 

Below is the full list of permissions for the respective roles.

Multi Organization Support

In addition to team management, GoDAM now supports multiple organizations under a single login. You can create as many organizations as needed, each with its own license, media library, and team members. 

A user can have different roles across organizations, for example, a viewer in one organization and a manager in another.

Improved WordPress Workflow

Since WordPress already supports multiple users, we have taken great care of mapping WordPress users with GoDAM members for an organization, so asset ownership is associated seamlessly across.

Earlier (now obsolete): When media was first copied from WordPress into GoDAM Central, the “WordPress author” info was not included. So, assets were not linked to the right user.

Now (new release):

  1. The plugin checks each WordPress user who uploaded media.
  2. If it finds the same user’s email in GoDAM Central, their media gets linked to their GoDAM account.
  3. If no match is found, that user is marked as a “Guest user”.

Ongoing: From now on, the plugin will always check the email of the uploader; if a WordPress user’s email matches a GoDAM Central user’s account, their media files will automatically get associated with them in GoDAM.

Site Based Folder: In GoDAM Central, each connected site now displays its own folder when you sync media, making it simple to organize and manage assets. This structured folder-based system ensures easy navigation and efficient media management across all sites.

Rollout for existing Customers 

  • On next sign-in to GoDAM Central, your previous account is converted into an organization with you as the owner and the only member.
  • All previously uploaded media through GoDAM Central or the WordPress site will be mapped to your organization and remain accessible only to you.

By Team:

  • Marketing teams: Centralize campaign assets and give Creators, Managers, and other stakeholders the right level of access.
  • Content & Editorial Teams: Manage multiple authors seamlessly and ensure the right content ownership and role assignments for editors, writers, and reviewers.
  • Product & Design teams: Manage feature demos, UI previews, and prototype recordings with clear Creator vs. Manager roles.
  • Training & L&D teams: Record onboarding or SOP videos, assign Trainers as Creators, and share with employees as Viewers.

By Organizations:

  • Agencies: Create a separate organization for each client to avoid cross-organization leakage and invite clients as Viewers or Creators.
  • Enterprises: Run an organization per department, assign Owners or Managers, and enforce role-based permissions for scale.
  • Software & SaaS companies: Streamline product walkthroughs, release notes, and support videos with our GoDAM Screen recorder Chrome extension.

New Folder Sharing Levels (Coming Soon!)

Every member will have “My Assets” (private to the uploader) and “Team Assets” (shared with their team).

Previously, assets could only be public or private. With this update, you will be able to share assets with team members, making it easier for teams to collaborate on shared media.
